Campus Visit Coordinator/Admission Representative
Job Description
WHAT YOU WILL DO
- Acts as the initial point of contact for all visitors to the Admission Office, which includes overseeing and delivering front-facing customer service for prospective students and families, school counselors, community-based organizations and other visitors to the Undergraduate Admission Center to ensure a positive visit experience. Specific responsibilities include: greeting and registering visitors; answering questions and clearly managing expectations for the visit (i.e., schedule, parking, food options, availability of tour guides and admission officers, campus directions, and location and accessibility of all academic and campus offices and faculty); as well as maintaining the room by replenishing publications and beverage station.
- Oversees and manages the planning and execution of special group events, information sessions, special visits, and admission interviews including procurement and placement of adequate staffing, supplies, and materials, to accommodate a fluctuating number of daily visitors; manages the in-person visit and interview schedule; coordinates the campus online calendar; manages room scheduling and reservations; assigns admission counselor interviews and on-call days.
- Assesses and evaluates campus visitor numbers, monitors trends, and recommends changes to the number and type of visit opportunities, staff assisting with events, and tour guides needed based on numbers.
- Acts as a campus liaison to all campus offices including but not limited to: Facilities, Athletics, Office of the President, Office of Student Financial Services, Development, and Campus life.
- Acts as a liaison to the Admission Assistant Program (AAP) Coordination team , recruiting and overseeing roughly 50 student volunteers; assists in supervision of tour guides. Works closely with the Admission Officer overseeing our Admission Fellow program, helping with scheduling, coordination, and checking in with our Fellows when an Admission Officer is not available.
- Assists colleagues on the Admission Operations team with database management, data entry, applicant management, mailings, running of decision letters, and other related tasks.
- Assumes additional responsibilities as required.
YOUR TEAM WILL INCLUDE
In collaboration with other Admission staff, helps supervise student tour guides, summer workers, and admission fellows
WHAT EDUCATION AND SKILLS YOU WILL NEED
Associate’s Degree
Must have at least 1-3 years related experience.
Must have excellent customer-service, interpersonal, and communication skills.
Must embrace the philosophy of Entrepreneurial Thought & Action and use creativity and innovation in decision-making.
Must have strong computer skills, including proficiency in Microsoft Office (Word, Excel, Outlook, etc.) and Google Suite.
Ability to succeed in a customer-oriented, team-based, technology-intensive work environment.
Must have excellent organizational skills and attention to detail.
Must have a familiarity with accounting basics and related technology.
Must have a commitment to a diverse working environment.
Ability to envision and propose new methods to perform tasks that support ET&A; take thoughtful risks; and accept new and ongoing initiatives, objectives, and solutions to gain sought-after results.
Ability to anticipate and embrace change; demonstrate willingness to achieve, acquire, and utilize new skills and challenging tasks; and is flexible in changing conditions.
HOW AND WHERE YOU WILL WORK
Some extended hours during pivotal times in the admission cycle (high school vacation weeks, summer).
This position is onsite five days a week.
Willingness to work limited weekends.
ADDITIONAL SKILLS YOU MAY HAVE
- Bachelor’s Degree strongly preferred.
- Previous admission experience preferred.
