This position is site-based and requires a presence on-site three days per week. 

Summary of role

The Director, Business Operations Medical Affairs is a key operational leader responsible for driving operational excellence in Medical Affairs through effective HCP engagement, vendor management, contract negotiation, budget oversight, and other tasks as needed. This role ensures alignment of operational processes with strategic goals and supports the execution of key initiatives across medical affairs. They will own certain cross-functional relationships with finance, legal, compliance, accounts payable and other business units to enable the seamless execution of Medical Affairs activities. The ideal candidate will bring strong organizational, communication, and cross-functional collaboration skills to support the success of the Medical Affairs team.

Key Responsibilities/Essential Functions
Operational Leadership:

  • Lead and manage vendor relationships to ensure high-quality, timely, and cost-effective delivery of services.
  • Oversee the end-to-end contracting process from procurement to payment, ensuring compliance with internal policies and external regulations.
  • Collaborate with Legal, Finance, and Procurement teams to negotiate and execute contracts efficiently.
  • Monitor and track Medical Affairs budgets, ensuring alignment with strategic objectives and accurate financial reporting.
  • Own relationship with external software system providers to maintain system functionality and ongoing licensing.

HCP Engagement & Compliance:

  • Manage the contracting and documentation process for healthcare professional (HCP) engagements, ensuring compliance with all regulatory and transparency requirements.
  • Oversee Open Payments reporting and ensure timely and accurate data submission.
  • Maintain systems and processes to support compliant HCP interactions and documentation.

Advisory Board & Event Support:

  • Support the planning and operational execution of advisory boards and other Medical Affairs-led events.
  • Ensure logistical excellence and compliance in all external stakeholder engagements.

Cross-Functional Collaboration:

  • Partner with Medical Directors, Legal, Compliance, and other internal stakeholders to ensure seamless execution of Medical Affairs initiatives.
  • Contribute to the development and continuous improvement of operational processes and tools.

Basic Qualifications

  • Bachelor’s degree in business, life sciences, or related field; advanced degree preferred.
  • Minimum of 15 years of experience in pharmaceutical or biotech industry, with at least 3 years in Medical Affairs operations or related function.
  • Proven experience in vendor management, contract negotiation, and budget oversight.
  • Strong understanding of HCP engagement compliance and Open Payments reporting.
  • Excellent project management, organizational, and communication skills.
  • Ability to work effectively in a fast-paced, cross-functional environment.

Other Requirements

  • Experience supporting Medical Affairs functions such as advisory boards and external engagements.
  • Familiarity with systems and tools used in contract lifecycle management and financial tracking.
  • Ability to travel as needed to support business objectives.
