About the Role
We are seeking a highly skilled and proactive Executive Assistant to support the Head of Office in New York City, who also leads a key department focused on the firm’s strategic growth in private markets, hedge funds, and sustainable investments. In addition, this role will support the Head of Private Capital Formation, who is responsible for driving the growth of our private investment capabilities. This includes close collaboration with product and sales teams, as well as leadership across the private investment platform, to strengthen our market position.
The Executive Assistant will also serve as the first point of contact for visitors to the New York office, play a central role in office-wide event planning, and contribute to shaping and fostering a dynamic and inclusive office culture. This position reports to the firm’s Administrative Manager in Boston, with a dotted-line reporting relationship to the Head of Office in New York.

RESPONSIBILITIES
The Executive Assistant will provide high-level administrative support to the team, ensuring seamless daily operations and contributing to the overall efficiency of the organization. Key responsibilities include:
Calendar Management: Coordinate complex and proactive scheduling across multiple time zones for a global team.
Meeting & Event Coordination: Organize logistics for internal and external meetings, offsites, and special events.
Expense Management: Prepare and submit accurate expense reports in a timely manner, and review and approved expenses on behalf of the Fixed Income department.
Travel Arrangements: Plan and book domestic and international travel, including detailed itineraries and accommodations.
Office Culture Carrier: Plan and organize events that bring employees together through cultural celebrations, and social gatherings; Provide administrative support to the WM NY Experience Committee (NYEC).
Research & Reporting: Conduct research and compile reports using internal systems and external sources.
Team Support: Provide cross-coverage and backup support to other Executive Assistants and leadership teams as needed.
Project Assistance: Support ad hoc projects for both the immediate team and broader firm leadership.
Presentation Support: Assist in the creation and formatting of PowerPoint presentations.
Performance Review Coordination: Manage scheduling and documentation for year-end performance activities.
Onboarding: Assist with the onboarding process for all new New York Office team members, ensuring a smooth and welcoming experience.
QUALIFICATIONS
Minimum of 10 years’ experience within an administrative role in a professional services organization supporting senior management and/or client-facing leadership
Experience in the investment management industry
Prior exposure to global contexts, whether professionally and/or personally
Advanced proficiency in MS Office with an ability and desire to learn new technology to drive efficiencies
Demonstrated strong detail orientation, diligence and overall high work quality
Excellent organizational, multi-tasking and prioritization abilities
Proactive and creative problem-solving skills and an anticipatory mindset
High level of reliability, professionalism and discretion
Ability to work under deadlines and to accommodate last-minutes changes
A strong customer/client service orientation, remains calm under pressure and has a positive, can-do attitude and a sense of humor
Outstanding interpersonal and communication skills
Typical work schedule is 8:00 am – 5:00 pm with flexibility and overtime as necessary; although this position is not “on call”, occasional off-hours support for urgent matters and planned events may be required. Our team values in-person collaboration and requires all employees to be in the office 4 days a week, with 1 day remote.

Our approach to compensation considers all aspects of total compensation; all employees are eligible to receive salary, variable compensation, and benefits. The base salary range for this position is:
USD 55,000 - 100,000This range takes into account the wide range of factors that are considered when making compensation decisions, including but not limited to skill sets; role; skills and experience; certifications; and education. This range is an estimate, and further details on salary and total compensation aspects will be shared with candidates during the recruitment process.
Base salary is only one component of Wellington’s total compensation approach. Other rewards may include a discretionary Corporate Bonus and/ or Incentives, if eligible.
