Events & Conferences is a division of Auxiliary Services responsible for the coordination of University-wide events, room scheduling of University events, management of the summer conference operations, management of a campus arts venue, and the coordination of non-University conferences and events throughout the year. Our mission is to support the academic enterprise of a vibrant research institution by providing comprehensive service and event planning resources at an exceptional value to campus departments and external clients. We are seeking a Reservations & Events Specialist to join our team. Reporting to the Assistant Director of Reservations & Events, this position serves as the front-line point of contact for inquiries and requests from University customers for the scheduling of campus venues.
Skills
Responsibilities include:
- Respond to inquiries via scheduling system, webform, email, and phone
- Provide guidance on venue selection, event needs, campus services, and cost estimates
- Create and modify campus space reservation requests in scheduling system
- Manage a small portfolio of events from inquiry to financial reconciliation
- Provide a diagramming service for event layouts to University customers
- Perform various financial and administrative functions related to the scheduling of campus venues
- Manage and collaborate with student employees

Required Skills
- Bachelor's degree
- One to three years of relevant experience in customer service or hospitality
- Excellent interpersonal and communication skills
- Ability to remain calm and positive under pressure and to deal effectively and diplomatically with a variety of constituencies
- Ability to analyze and anticipate customer needs and suggest viable options while maximizing utilization of available venues and services
- Willing to work evenings and weekends for events, client meetings, or site visits
- Demonstrated commitment to diversity, equity, and inclusion
- Experience using 25Live and Social Tables is preferred
- Valid Driver's License and knowledge of Boston University is preferred
