The Team
We are seeking a Senior Administrative Assistant to join the company’s U.S. Tower division. The Senior Administrative Assistant provides a high-level of administrative support to senior leaders and ensures efficient operations by managing calendars, processing invoices, planning meeting, completing expense reports, and arranging travel. This role requires strong organizational skills, discretion, and the ability to manage multiple priorities in a fast-paced environment. A key component of this role includes planning and executing internal and external events that support business objectives and enhance team engagement. The ideal candidate will demonstrate a sense of urgency, adeptly manage competing demands, maintain confidentiality, and thrive in a dynamic, fast-paced environment.
What You Can Offer Us
- Manage calendars, schedule meetings, and coordinate logistics for internal and external appointments.
- Prepare and edit correspondence, communications, presentations, and other documents.
- Handle confidential information with discretion and professionalism.
- Coordinate domestic and international travel arrangements and related expense reports.
- Serve as a liaison between executives and internal and external stakeholders.
- Maintain office systems, including data management and filing.
- Support project tracking, reporting, and documentation.
- Assist with onboarding and training of junior administrative staff.
- Plan, coordinate, and execute on- and offsite meetings and special events, including venue selection, catering, materials preparation, and logistics.
- Manage event budgets, vendor relationships, and post-event evaluations to ensure successful outcomes and continuous improvement.
- Other duties as assigned.
What You Need to Succeed
- Bachelor’s degree preferred or equivalent work experience.
- Minimum 3 years’ experience as an administrative assistant or office administrative assistant, preferably at the senior level.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent time management skills and an ability to multitask and prioritize work.
- Strong written and verbal communication skills.
- High level of discretion and professionalism.
- Familiarity with enterprise systems (e.g., Oracle, Salesforce).
- Experience supporting multiple executives or departments.
- Success in planning and executing corporate events or team-building activities.
- Ability to anticipate needs and proactively solve problems.
