Summary: Responsible for enhancing the Relationship Manager’s effectiveness by performing a wide variety of complex, diverse, sensitive and confidential administrative functions while providing overall gatekeeping and information management support. Acts as business partner in all areas of Relationship Manager’s practice. Supports the Relationship Manager’s by coordinating activities and initiatives that facilitate the new policy and client service processes. Must provide superior client service by identifying the client’s wants and needs, acting on, and/or delegating items and following through to completion while keeping all parties informed throughout the process.

Essential Duties and Responsibilities:

Executive Support

  • Coordinates all aspects of internal and external meetings including but not limited to confirming all meetings and appointments as directed by the Relationship Manager, reserving meeting space, and preparing the conference room with audio-visual technology as needed.
  • Ensures data accuracy in company records by regularly and routinely updating business contacts, client and vendor information in MOSAIC and maintaining files according to company compliant procedures.
  • Handles all confidential business matters and work independently on special assignments.
  • Participates in regular departmental meetings and training and development sessions as directed.
  • Partners with the Relationship Manager when participating in Lenox marketing campaigns, including MOSAIC list updates as well as updating client email addresses.
  • Proactively identifies future opportunities via MOSAIC, LinkedIn, and ZoomInfo databases.
  • Assists Relationship Manager with tracking expenses and submitting/tracking reimbursements.
  • Creates feeder lists as requested.
  • Responsible for greeting clients/business partners, fielding phone calls, reviewing incoming mail, managing office supplies, ordering client gifts.
  • Arranges corporate travel including developing itineraries and agendas, booking transportation, and arranging lodging and meeting accommodations.

Pre-Sale and New Business

  • Assembles meeting preparation documents pertaining to the client/prospect prior to sales meetings, including but not limited to, illustrations, policy and product summaries, reports, presentations, and marketing packets.
  • Partners with Advanced Sales to obtain and/or generate the appropriate illustrations/one-pagers
  • Ensures Relationship Manager has appropriate Licensing and Appointments and works with internal contracting and licensing contact to obtain and renew licenses prior to business submission.
  • Performs all insurance underwriting duties, including preparation and completion of multi-life and individual disability, life, and long-term care applications. Creates framework for any cover letters that need to be included with application, works with case manager to determine the best rating to present the case to underwriting based on medical history.
  • Schedules medical insurance exams.
  • Partners with the New Business Team to manage all new business cases using MOSAIC as the system of record for status/notes/tasks and communicating with RM and client as necessary.
  • Reviews insurance policies and prepares them for delivery; follows up on delivery requirements when needed.
  • Partners with Lenox Asset Management Team to process individual asset management applications, service requests, and performance summaries.

Client Service

  • Processes all insurance policy service requests, including but not limited to address changes, beneficiary/ownership changes, premium mode changes, and dividend option changes.
  • Provides high level of client service and Relationship Manager support.  Works directly with the clients on service work with minimal day to day oversight by the Relationship Manager.
  • Interacts daily with insurance carriers and vendors to ensure proper and timely execution of client service requests.

Knowledge, Skills, and Abilities

  • Insurance product knowledge: life, disability and long-term care. Understanding the products’ features to be able to service clients and handle underwriting.
  • Service Knowledge: assist clients with changes to policies.
  • Advanced in Microsoft Excel, Outlook, Word and PowerPoint.
  • High attention to detail.
  • Effectively manages heavy workload.
  • Organizes work processes to create efficiency.
  • Carefully weighs the priority of things to be done.
  • Takes personal responsibility for quickly and effectively resolving service issues.
  • Thorough, accurate and reliable when performing and completing job tasks.
  • Thinks beyond their own job tasks and considers the bigger picture and what’s best for internal partners and external client service delivery.
  • Manages time well to accomplish work tasks within established deadlines.
  • Professional communication skills.
  • Relationship building.
  • Ability to multitask.

Education and Experience: 

  • Bachelor's or related experience preferred.
  • 3-5 years of related administrative or support experience.

Certificates, Licenses, Registration:

  • Life and Health License preferred.

The base salary range for this position is $61,000 – $91,000. The base salary offered will be determined by factors including, but not limited to, experience, credentials, education, certifications, skill level required for the position, the scope of the position, and geographic location. Actual base salary offered will be determined on a case-by-case basis. In addition to the base salary, this position may be eligible for performance-based incentives.
