We are seeking an experienced and detail-oriented Senior Billing Operations Analyst to join our team. In this senior role, you will oversee the maintenance and accuracy of billing processes for our partners, secretaries, and their clients. You will ensure that all client and matter information is consistently maintained across our systems, in strict adherence to engagement letters and outside counsel guidelines. Your expertise will be crucial in supporting the billing department with advanced process management and system configuration governance, ensuring timely and precise entries into the firm’s billing system while delivering exceptional customer service.
Key Responsibilities:
- Finance Operations Oversight: Supervise the Finance Operations mailbox and ensure timely action on requests.
- Client and Matter Setup: Oversee the assignment and creation of bill groups for new clients and matters, and conduct comprehensive intake reviews.
- System Governance: Regularly review and update the billing system to ensure compliance with engagement letters and outside counsel guidelines, including setting up disbursement constraints, custom action codes, and custom matter plans.
- Data Integrity: Maintain and update client/matter designations, industry codes, contact names, and addresses, including managing any outstanding prebills.
- Billing Group Management: Create and manage bill groups, consolidate matters, and set up split payors that are not clients.
- Advanced Reporting: Prepare detailed and strategic reports for partners on designations, client, matter, and portfolio reporting.
- Attorney Transition Management: Reassign designations for departed attorneys and generate comprehensive client and matter reports to facilitate their transition.
- Matter Lifecycle Management: Oversee the reopening and inactivation/closure of matters as needed.
- Information Maintenance: Ensure the accuracy and completeness of client/matter maintenance information and update CRA/MBA/MRA and RES for partners.
- Personal Account setup: Manage the setup and work with HR to address any reactivating of rehires’ accounts.
Qualifications/Experience/Knowledge:
- Experience: 5+ years of experience in a professional services time and materials billing environment, with significant law firm billing experience preferred.
- Policy Adherence: Demonstrated ability to adhere to and apply billing department policies and procedures.
- Analytical Expertise: Superior analytical skills with a high level of attention to detail.
- Communication: Exceptional written and oral communication skills.
- Technical Proficiency: Advanced proficiency in MS Excel and familiarity with MS Office, including MS Word, PowerPoint, and billing software such as Aderant/Elite.
- Customer Service: Proven ability to provide exceptional customer service in a fast-paced environment.
- Task Management: Strong ability to manage a high volume of tasks while maintaining meticulous attention to detail and prioritizing effectively.
- Leadership: Demonstrated leadership skills with the ability to mentor and guide junior team members.
